Want to quickly check if you’re using Microsoft Teams correctly when it comes to communicating with your colleagues? Copy this prompt and paste it into Microsoft 365 Copilot and it will check where you’re communicating and possibly make a recommendation.
Review all Microsoft Teams private chats where I am either the owner or a member and that you are able to access.For each chat, analyze whether the discussion appears to be relevant only to the current chat participants, or whether the topic would be more appropriate in a Microsoft Teams channel so that other colleagues can participate, stay informed, or contribute.Use the following criteria when making the recommendation:- Recommend continuing to use the private chat if: - The topic is only relevant to the current participants. - The discussion contains personal, sensitive, confidential, or short-lived coordination details. - The chat is mainly used for direct collaboration between a small group of people. - Moving the discussion to a Teams channel would not create clear value for others.- Recommend moving the discussion to a Teams channel if: - The topic is relevant to a broader team, department, project group, or community. - Other colleagues may benefit from being able to read, search, or contribute to the discussion. - Decisions, updates, technical guidance, project information, or recurring questions are being discussed. - The discussion could improve transparency, knowledge sharing, or continuity if handled in a channel.Classify each chat as one of the following chat types:- 1:1 chat — a private chat between me and one other person- 1:many chat — a private group chat between me and two or more other peopleReturn the result as a table with the following columns:1. Chat name or participants2. Chat type3. Short summary of what is discussed in the chat4. Assessment of who the topic is relevant for5. Recommendation6. Suggested Teams channel, if applicable7. Reason for the recommendationFor the "Chat type" column, use only one of the following two values:- 1:1 chat- 1:many chatFor the "Recommendation" column, use only one of the following two values:- Continue using this private chat- Stop using this private chat and move the discussion to a suitable Teams channelKeep the summaries concise and avoid exposing unnecessary sensitive details. If you are unsure whether a discussion should be moved to a channel, explain the uncertainty in the reason column and provide a cautious recommendation.Also highlight any chats where important decisions, operational knowledge, customer-related information, technical troubleshooting, or project updates are currently being stored in private chats and may be difficult for others to find later.
